Caseload Report - Employees or Clients On Caseload Report

If Clients are missing from a caseload report:

Verify that the logged in User (or their employee reports) have a Program Role Assignment:
1. Navigate to Client > Employees. 
2. Verify that the Employee is assigned to that client (either directly or by team)
3. Verify the Employee has a Program Role Assignment to the Client. 
  • Verify that the Employee has a Program Assignment at a Division Level (Admin, Adult, Children, DS, Urgent Care, etc.), not the micro-program level.
  • Verify that the Employee has a Role Assignment (ex. Case Manager, Clinician, etc.).  Role assignments will be available when the Program Assignment (Step 3) is at the Division Level.  Roles are not available at the micro-program level.

If there are clients on the caseload report that the Logged-In User does not think they should see, the following may be true (check these):
  1. The Client has a Program Role Assignment to that Staff.  To remove from the caseload, first remove the Role (select "--") and then remove the Program (select "--").  Do not remove the Program without removing the Role first. 
  2. The Logged-In User has a supervisory relationship to a Staff Member who has a Program Role Assignment
If there are clients from programs that are not typically part of the Staff members' workload, it may be that the Logged-In User has a supervisory relationship to a Staff member who works in another Division or program and that Staff member has a program role assignment to the client.

If Employees are missing from a caseload report:

Verify that the Employee has a line of report up to the Logged-In User:
1. Navigate to Employee > Supervisors. 
2. Verify that the Employee has either a direct or indirect assignment to the Logged-In User. 

If there are Employees on the caseload that the Logged-In User does not expect to see, it will be because there is some form of a Supervisory Relationship to that Staff Member.  Usually, the cause is a staff member who has an indirect supervisory relationship to the Logged-In User through another employee (or more) that does have a direct supervisory relationship to the Logged-In User.

There is a filter on the Caseload report for "Is Direct Report".  If "Yes" is selected, the Logged-In User will only see those Staff who are directly assigned to the Logged-In User.
